Your opportunity
- Provide administrative and operational support to the Office Manager and the Australian business, including diary management where needed, meeting coordination, roadshows and correspondence.
- Support office operations and events, manage facilities and supplier coordination, onboarding tasks, and assist with leave coverage as required.
- Support the People Department with the planning and delivery of local office activities and events throughout the year, including DEI initiatives, Charity Committee activities, and other corporate events.
- Maintain a clean, functional, and well-stocked office environment, including stationery and kitchen supplies.
- Act as the first point of contact for day-to-day staff queries, including printing, couriers, systems, and general admin support.
- Coordinate logistics, documentation, and follow-ups for Board, Committee, and Product Forum meetings.
- Prepare, record, and manage meeting minutes, including review and approval processes.
- Maintain compliance-related documentation, policies, training records, and attestations to ensure audit readiness.
- Coordinate and complete internal and external data requests across multiple teams, ensuring accuracy and timeliness.
- Consolidate, quality-check, and finalise data responses prior to submission, resolving discrepancies as needed.
- Your role may require you to interact with other JHI offices, employees and third parties based in different time zones, outside of core business hours, such as the UK, USA and Asia.
- Carry out additional duties as assigned.
