Your opportunity
- Provide executive administrative support for the CAO, including coordination and management of complex international travel schedules and global calendar management, including arranging flights, accommodations, visas, and itineraries.
- Demonstrate exceptional foresight by anticipating the CAO’s needs and preferences, preparing materials, briefing documents, and logistical arrangements ahead of time.
- Assist in the preparation and coordination of board meetings, including the compilation and distribution of board materials and minutes.
- Manage special projects and initiatives as directed by the CAO, ensuring timely completion and alignment with company objectives.
- Conduct research and compile data to support decision-making processes and strategic planning.
- Handle confidential and sensitive information with discretion and maintain the highest level of professionalism.
- Coordinate cross-departmental activities and communications to facilitate smooth operations and support organizational efficiency.
- Assist in budget preparation and expense management for the CAO office, including processing invoices and expense reports.
- Facilitate and manage the onboarding process for new team members within the CAO departments.
- Enhance office efficiency by proactively identifying opportunities for process improvements and implementing solutions.
- Provide backup support to other executive assistants and administrative staff as needed.
- Stay updated on industry trends and best practices in executive support to continuously improve effectiveness and service delivery.
- Facilitate leadership team meetings, including agenda preparation, action item tracking, and follow-up.
- Cultivate and maintain relationships with key stakeholders, both internally and externally.

Must have skills
- 8+ years of c-suite executive level support
- Exceptional organizational and time management skills.
- Strong analytical skills with the ability to synthesize and present data insights.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Proficiency in Microsoft Office Suite and travel management tools.
- Experience in managing complex international travel and calendar schedules.
- Ability to act as a "gatekeeper/gateway," balancing executive access with protecting leaders' time.
Nice to have skills
- Preferred background in financial, legal, or marketing experience.

Compensation information
The base salary range for this position is $100,000-$110,000. This range is estimated for this role. Actual pay may be different. This role will be posted through October 15, 2025.

Annual Bonus Opportunity: Position is eligible to receive an annual discretionary bonus award from the profit pool. The profit pool is funded based on Company profits. Individual bonuses are determined based on Company, department, team and individual performance.
